18 Aug 10 Planning Meetings Abroad

Planning large scale international gatherings/meetings is complicated, but the fact that they are held abroad makes them even more complex. Here are some tips for planning the perfect meeting abroad:

  • Start planning early – Planning early is the best way to get everything ready and prepared properly. Be sure to look around online forums and search engines to see if the venue(s) and/or hotel(s) being considered are reputable. Remember that reputable might mean different things to different people, and some countries allow establishments to rate themselves in terms of stars.  Consider an all inclusive cruise meeting.  Cruising to foreign ports is a great way to save money and still offer a fabulous itinerary.
  • Passports and visas – Some countries have very laid back standards for entry, while others have very strict rules that are dutifully enforced. Know the rules of the country you plan on visiting and follow them fastidiously.
  • Start slow – Jet lag is unpredictable, and thus it is best not to put critical meetings at the break of dawn on the very first day. Instead, schedule mixers and other light events on the first day and let the second day start a little slow.
  • Book early – Let participants know what to expect in terms of jet lag, and suggest that people be on the ground and ready a day early. A few early bird cocktail mixers or other events could be held for these people, but remember the previous tip.
  • Guides – A good host will prepare guides for their guests. Include basic language and custom tips when appropriate as well as a list of important numbers.

The April “Meetings and Conventions” Perfection in Planning supplement took an in-depth look at where planners were looking for their overseas destinations in 2010. Europe took the lead, with a whopping 51%. Canada and Mexico took second place with 38%. It’s the third in a row Europe was solidly in first place.

In some ways this is a stamp of approval for those of you who are looking at European destinations for your offshore meeting plans. However, it is also a call to action for those of you who have clients trying to save money.

Canada and Mexico, at second place, may be poised to provide better prices and service. Mexico has suffered recently from h1n1 flu scare as well as crime waves, but there are destinations that are perfectly safe–and the flu has moved out of Mexico for greener pastures (the U.S., for one).

Asia came in third, and yet offers beautiful scenery and top notch service in many destinations, including Vietnam. The Caribbean and Bermuda are tropical and laid back, and offer relaxing seaside destinations.

Africa, the Middle East, and other destinations that came in close to last also may be better choices, depending on your client’s needs. The bottom line is that you can save money and offer beautiful and interesting destinations at the same time. A little research can help you a lot, so don’t be afraid to put in a little time and stock up on alternative meeting targets.

Well, there probably is one, but you rarely hear it in the same sentence as “Bahamas.” Whether you prefer shopping, historical tours, gambling, or beach life in a tropical climate, this island paradise has it all–and it is only a little over a half hour from the coast of Florida. These laid back islands have made the word “Bahamas” synonymous with “ahhh, peace at last.”

One of the best things about scheduling an event in the Bahamas is that there is something for almost everyone. If you like historical settings, New Providence Island and Nassau may be the ideal place for you. You can sight see colonial era neighborhoods in Nassau and shop at local artisan markets that are peppered throughout the town. New Providence has a large selection of lodging choices, with settings like the sandy turquoise-water lagoons that the islands are famous for. (more…)
