Planning meetings is a tried and true practice that evolves in large jumps more often than it does in small increments. The cruise meeting is a great example of this as it is an entirely new format that is barely a few decades old. Despite that many meeting planners do not truly understand the difference in planning cruise meetings, such as:

Planning a group cruise can seem like a logistical nightmare at first, but is not actually a complex as it might seem on the surface. Follow these three basic tips to keep your sanity and composure while simultaneously planning a great group cruise:

Meeting planning can take a long time, but it can also be streamlined with a little bit of practice. Here are a few tips for learning how to streamline meeting and/or event planning:
Mailing/SMS lists – If the participants are notified electronically, create lists. If certain people get left out of Monday meetings but not Tuesday meetings, then make two lists. Lists make sending notices both more reliable and much quicker. Some programs can also be used to track whether e-mails were opened or not.
Anticipate needs – Excellent meeting planners observe carefully what participants ask for at meetings and anticipate those needs recurring. If Mr. Jones from accounts receivable likes a coffee with two sugars and cream today, then chances are he will like it again next week. If Bob from sales likes an extra-soft chair cushion today, he will probably want one next week too.
Backup plans – It pays to remember that there is a heightened chance for things to go wrong when events or meetings are being held off-site. Having a backup plan makes recovering from an unforeseeable problem a lot easier. A few minutes preparing a backup plan can help save hours and save face.
Send reminders – Send reminders to participants, catering, and all other relevant parties just to ensure that everyone is on time and ready to perform their part when they are supposed to.
Use the Internet – book travel arrangements and source group cruise events entirely online to save time and money.

Anyone considering planning a group cruise event can easily be overwhelmed, especially if they do not realize that there are many resources ready and waiting to help them. Here is a good workflow for anyone seeking to simplify group cruise planning:
Check with the Seasite.com first – they have online tools and services that can make planning virtually everything a one-stop process. Nothing is simpler than an all-inclusive group cruise planning at Seasite.com.
Failing that, start with travel – Participants will need to get to and from their hometowns to the port of call for the cruise ship, and that will often entail flights. Many airlines offer special pricing in such situations, so avoid using sites that specializing in shopping amongst airlines and make direct contact.
Cabins – Try to keep everyone appeased when it comes to cabins, but be aware that some people develop sea sickness based on the side of the ship they are on. That is to say that some people will rarely get seasick if their cabin is on the port side, but the same may not be true if they are given a cabin on the starboard side of the ship.
Meeting rooms and events – Remember to schedule at least a few events, even if they are less than formal. A group meeting in a spinning class or during a game of Marco Polo are interesting alternatives to conventional meetings.

For many years companies have planned group meetings and events in cities all across the country. While there are many destinations in the U.S. and abroad that are ideal locations for corporate events, employees and clientele may be less impressed with these venues than in times past. This is because there is a new frontier now being discovered by companies that truly want to impress. This new frontier is custom cruising, and it may be more affordable than companies think.
Group cruise planning, cruise event planning, and cruise meeting planning are the new wave in corporate events, getaways, and retreats. There are organizations available to assist event planners in designing the perfect custom cruise event or cruise meeting. Group cruise planning requires attention to many details and specifics, and these organizations can assist with this venture as well.
Custom cruises are often less expensive than land meetings because with an all inclusive cruise practically everything is included. Lodging, meeting spaces, food, entertainment, linens, florals, and superior customer service are part of a custom cruise package. In addition, employees and clientele will experience breathtaking destinations and exotic ports of call. All of these features creates an atmosphere more conducive to building camaraderie and building solid relationships among those within or associated with the company.

Newly launched Seasite.com provides 24/7 access to all cruise brands, and the most content-rich and searchable database for the cruise industry.
Miami, FL (Vocus/PRWEB ) January 21, 2010 — Planning a group cruise requires searching for detailed ship information and not always finding what you need – even on the cruise lines’ own web sites. Now, with Seasite.com, the first cruise portal for meetings and events, group organizers can find all the ship data they need in one place – at no cost.

"I’ve bookmarked Seasite.com – it’s invaluable in selecting the right ship for a group and to verify it’s a good fit before I present it to my client,” said Millie Evans, President/CEO Alliance Incentives and Meetings. "And for operational planning, it has all the info I need – which isn’t on cruise line web sites.”
Seasite.com provides 24/7 access to all cruise brands, and the most content-rich and searchable database for the cruise industry, so that planners can:
1. Find ship data never before offered online or in print, such as:
- Meeting/function room capacities
- Dining room seating, and details for private group dining
- Outdoor group function areas
- A/V equipment lists
2- Search, compare, and save favorite cruises; then create one RFP and submit it to multiple cruise lines. (Group pricing is the same as booking direct.)
3- See the cruise lines most committed to groups, and search their mini-sites (all laid out the same — when you’re familiar with one, you’re familiar with all!)
4- Search by ship name for a chronological list of future Itineraries and Basic Ship Information, and find it faster than a brochure.
5- Search for a cruise anywhere in the world by any date range (as short as several days or as long as several months). Sort your results by meetings-specific criteria.

Blue Grotto Capri Italy
Summer seems barely over, but it is not too soon to think about next year’s bookings. A trip to Italy is a wonderful incentive, particularly if the lucky employee’s destination is the Island of Capri. Luxury accommodations are available at one of the island’s hotels.
The Grand Hotel Quisisiana Hotel, located in the heart of Capri, is a five star luxury hotel whose staff will pamper a weary executive or host a meeting in the hotel’s theater area. Two other five star luxury hotels grace the island: the Capri Palace Hotel-Spa and the JW Marriott Capri Tiberio Palace & Spa.
The island has many tourist attractions and the most famous has to be the Blue Grotto. The underground sea caves are renowned for their intense blue color and the silver light that floats through the walls. Recent investigations indicate that at least four Roman statues may lie underneath the turquoise blue water.
Those are not the only statues at the Blue Grotto. In 1964, statues of Neptune and Triton were pulled from the sea bottom. The sculpture of the sea gods are now on display in Anacapri. The recent diving survey indicates that four other statues may lie at the bottom of the sea. Additional sculptures are an exciting find for this island paradise and its visitors.
A trip to the Blue Grotto is an experience a hard working employee will never forget. It’s sure to inspire loyalty and demonstrates corporate appreciation of hard work and dedication.
Many cruise ships stop at Naples and Capri, so a group cruise is a great way to see the Mediterranean area. Why not make your next event an incentive cruise?
