18 Oct 10 Meetings Not Productive? Consider Changing These 4 Ideas

When meetings between different departments, groups, or even entities start to become less productive then it is time to try some new techniques. Here are the top four ways to break through meeting roadblocks:

1. Consider a change of venue – Sometimes the same meeting places will produce the same results. This is especially true whenever the meeting is held at a non-neutral venue. Consider moving a meeting to a neutral venue if there is even the slightest possibility that the big deal is being held up because of some psychological slight regarding the demand that one party meet on the other party’s turf.
2. Consider a change of time – Some people are morning people, others are decidedly not morning people. If the meeting is being held in the morning then there is a possibility that mental juices are not flowing as fast as possible or that attitudes are not what they should be.
3. Consider a single-sided table – Sometimes a single-sided table reduces the subtle subconscious tendencies to view those sitting on the other side of the table as adversaries. Instead, everyone should be facing the same direction looking at a whiteboard or other presentation device to work as cooperative problem solvers.
4. Add an espresso shot or go with a half-decaf blend – If the meeting is seemingly held up by a lack of energy then give the coffee an extra boost of espresso. If the meeting is getting a little too serious, consider mixing decaf in with regular coffee to give the participants a little less edge.

14 Apr 10 Breaking the Ice on Your Next Meeting

Raising the energy level of an early morning meeting can be quite a challenge. People head for the coffee and tend to gather with familiar faces. This can make things a little awkward for new people in the group and makes it difficult to generate new group dynamics. The right icebreaker can shake things up a bit and get people interested in what is to come.

One fun way to create new groups and start a team building activity is to distribute bits of a building set among the participants. People who hold Legos go to the Lego station, anyone with a Tinker Toy piece heads to the Tinker Toy table, and so forth. Each team has 15 minutes to create a model of a concept on the day’s agenda.

The exercise could focus more on introducing relative strangers to one another. Break the group into smaller parts using the same method, this time using small pieces of candy. This time the group members play 2 out of 3, meaning they write down 3 things about themselves, 2 of which are the truth and 1 that is a lie. The more outrageous the items, the more fun group members will have separating truth from lies.

14 Dec 09 Dear Santa, Bring Me A Cruise Meeting?

Dear Santa Boss,

I’ve been good this year. I didn’t really didn’t try to spill Larry’s coffee all over those horrible business meeting presentation packets; that mess was really just an accident even though everybody started to applaud. I really didn’t mean to make Larry cry either. Poor Larry…

Well, let me rephrase this. Santa? I’m not always good. But, it’s present time anyway?

All I want for Christmas this year is for my July business meeting to happen on a nice sunny cruise ship with free food, after hours entertainment, and an air conditioned conference room. Oh, and a hair dryer available in case I spill my coffee on important papers again. Larry would like it if I requested a hair dryer. See? I’m even thinking of others.

Please Santa Boss, sir? The cost of an incentive cruise is often cheaper than car rentals, motel accommodations, and restaurant food plus important time can be saved by having all meeting members corralled on the same cruise ship where they cannot get lost in traffic.

Just because some people use cruise ships for vacations does not mean that my trip on a luxurious cruise ship cannot be used for work. Conference-style meeting rooms are available on cruise ships that will fit everybody involved, and we can always pull the blinds in those conference rooms until the meeting is over if the windows offer a nasty ol’ scenic view. I promise not to look out of the windows!

So, can I please have a cruise ship for Christmas this year? I’m good. It will save the company money.

Here’s a quick multiple choice quiz: If you have 100 people attending an event, how much coffee should you order for a morning break?

A. Lots! People drink more than one cup.
B. 1 cup for around 90% of the expected attendance
C. Tear out hair and close event planner business

The correct answer may be C depending on how panicked you are about ordering food and beverage for your meetings, and A used to be the answer. However, if you want to save your client money and do your reputation a favor, choose B. Why?
